12 Cash Flow Management Tips for Small Businesses
· 7 min read · CashSoft team
Good cash flow management is less about clever finance and more about consistent habits. These twelve tips are grouped into three areas: bringing cash in sooner, sending it out smarter and seeing what is coming.
Bring cash in sooner
1. Invoice immediately
Send invoices the day work is delivered, not at the end of the month. Every day of delay is a day added to your payment cycle.
2. Make paying easy
Include clear payment details and accept the methods your customers prefer.
3. Ask for deposits on large jobs
A 30–50% upfront payment protects you from funding the entire project yourself.
4. Follow up on a schedule
Send a friendly reminder before the due date and a firm one the day after. Consistency matters more than tone.
Send cash out smarter
5. Pay on the due date, not before
Unless there is an early-payment discount, use the full terms your suppliers offer.
6. Negotiate terms that match your customers
If customers pay you in 45 days, ask suppliers for 45-day terms too.
7. Review subscriptions quarterly
Small recurring costs add up. Cancel tools nobody uses.
8. Plan large purchases
Time equipment purchases for months when your forecast shows a comfortable balance, or consider leasing.

9. Keep a rolling 13-week forecast
Update it every week. It is the single most effective habit on this list.
10. Set a cash buffer
Decide on a minimum balance — often one to three months of fixed costs — and treat it as untouchable.
11. Separate tax money
Move a percentage of each receipt into a separate account for taxes so the bill never comes as a shock.
12. Watch customer concentration
If one customer provides most of your income, a single late payment can create a crisis. Diversify where you can.
